Privacy Policy

Effective from 3 November 2026

This policy explains how Billzify Technology India ("Billzify", "we", "us") handles information when businesses use Billzify Review AI (the "Service"), available at billzify.com. By using the Service you agree to this policy.

1. Who this applies to

The Service is used by business owners and their authorised staff ("you"). It also processes limited information about your customers, such as the name and phone number on a bill, and the public reviews they post on Google.

2. Information we collect

Account details: your name, business name, phone number, email address and billing details for your subscription.
Customer contact details: customer name and mobile number from bills created in Billzify, used only to send that customer your bill and your review link.
Google Business Profile data: described in section 3.
Usage data: log-in times, actions taken in the dashboard (for example, approving a reply) and basic device and browser information, used for security and support.

3. Google Business Profile data

When you choose to connect your Google Business Profile, you sign in with Google and grant the Service access using the business.manage permission. With that access we:

read the list of business locations on your account so you can pick which ones to connect;
read reviews and existing review replies for the locations you connect;
post or update a reply to a review, only after you or your authorised staff approve that reply in the dashboard.

We do not use this access to create reviews, edit your business information, hours, photos or posts, or to access locations you have not connected.

Billzify Review AI's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. Google user data is used only to provide the review features you see in the Service. It is not sold, not used for advertising, and not shared with third parties except as needed to run the Service (see section 6) or when required by law.

4. How we use information

To show your reviews and help you draft and post replies.
To send your review link to customers along with their bill.
To send you alerts and monthly reports about your reviews.
To provide support, keep the Service secure and prevent misuse.
To process your subscription payments.

5. AI-drafted replies

To draft a reply, the text of a review and your chosen reply style are sent to an AI language-model provider that processes it on our behalf. The provider may not use this data to train its models. A draft is never posted to Google until a person approves it.

6. Sharing

We share information only with service providers that help us run the Service, such as cloud hosting, SMS and WhatsApp messaging providers, payment processors and the AI provider mentioned above. They act on our instructions and must keep the data confidential. We may also disclose information if required by law. We do not sell personal data.

7. Storage and security

Data is stored on secure cloud servers. Google access and refresh tokens are encrypted at rest and are used only for the account that granted them. Access to production data is limited to staff who need it to operate the Service.

8. Retention and deletion

When you disconnect Google from Billzify settings, or revoke access from your Google Account permissions page, we delete the stored Google tokens and stop all access. Cached review data for that account is deleted within 30 days.
When you close your Billzify account, we delete your account data within 30 days, except records we must keep by law (for example, tax invoices).
Replies you have already posted remain on Google and can be removed by you from your Business Profile.

9. Your rights

You can ask to access, correct or delete your personal data, or withdraw consent, by writing to us at the address below. Under India's Digital Personal Data Protection Act, 2023, you may also raise a grievance with us and, if unresolved, with the Data Protection Board of India.

10. Children

The Service is meant for businesses and is not directed at anyone under 18.

11. Changes

If we change this policy we will update the date above and, for significant changes, tell you in the dashboard or by email.
